Delegation:  noun referring to the entrusting authority to

Many people find it hard to let go of tasks, but once you release the work that others can do and see the results are satisfactory because of your guidance, it will free up time for you to get to your tasks & you will feel in control once again and not overwhelmed. 

So to delegate one needs to

  • empower someone else to take over a specific task
  • trust them to run with the task according to a communicated specification

Tips on how to delegate:

  • Delegate repeat tasks – tasks that are quick to do but are done daily/weekly/monthly/quarterly etc . Take the time to teach & delegate it to someone who can do it – will save a lot of time in the long run
  • Always give clear instructions  - what,  why,  how, when,  where
    • What – give detail of what needs to be done
    • Why – explain why it must be done, especially if urgent & never assume that the employee will agree with you.  Check their priority list & see which is more important & time availability
    • How – be clear on how you would like it done/like it to look, avoid a do-over!
    • When – be clear on the due date & make sure it is possible to have it done by this time & always allow time for you to review when follow up is diarised
    • If the result doesn’t match your requirements go back to the delegate & ask then to rework the content with the brief you supplied.  Make sure you delegated the task properly before taking the delegate to task – decide which is better ; a written or verbal request to do the work.  A slightly longer explanation at the beginning might save time & reworking in the long run
